Development of a Classroom Operations & Lesson Booking Support System for a Tutoring School (Moving Beyond Excel — DX)

Challenge
Previously, clerical work such as lesson booking, tracking the number of lessons taken, and tuition billing was handled manually via Excel. As the school expanded to multiple classrooms, this created a growing workload and reliance on specific individuals. The old booking system and current operations were disconnected, making it unclear for students and parents which channel to use.
- Manual lesson/booking management via Excel (risk of over-reliance on specific staff and errors)
- Complexity of managing the lesson master (remaining lesson counts by subject, academic year, and month category)
- Workload from clerical tasks such as billing, tuition notices, and receipt issuance
- Need for data separation and operations across multiple classrooms (by classroom)
Solution & Team
We built an integrated operations support system centered on lesson booking, serving as a single portal for students and parents, and achieved DX by moving away from manual Excel-based operations. Built on the premise of migrating from and consolidating the previous booking system, it also supports data separation by classroom (multiple locations).
- Lesson booking: Booking based on the lesson master (remaining counts by subject × academic year × month category), with filtering by period (5th–9th period) and booking status, and support for advance booking
- Lesson schedule: A weekly calendar clearly showing the booking deadline
- Lesson reports: A list of lesson reports from instructors, including attendance and lesson format
- Tuition: PDF download of tuition notices and receipts, support for billing (automatic debit / bank transfer)
- Announcements, absence requests, and messages: Centralized communication from classrooms and absence requests from students
- Arrival/departure history and learning reports: Viewable from the student's profile
The infrastructure was built on AWS, using PHP (Laravel) and MySQL. We continue to support stable operation and phased scale-up, including mapping of the custom domain and per-classroom subdomains, starting from a staging environment.

About the Client
Institute of Kensu Education, founded in 2003 (operations began in 1997), is an education business based in Kokubunji City, Tokyo, running multiple classrooms under the "Kensukai Individual Tutoring School" brand. In addition to operating tutoring schools, the company runs a broad range of businesses, including classroom management system development, next-generation educational IoT devices, and teaching material production.
For this project, we supported the integration of booking and attendance management — previously scattered across classrooms and handled manually via Excel — into a single portal, creating an environment where students and parents can complete everything from lesson booking to checking tuition fees in one place.
