New Development of a Web App for Building Maintenance Inspection Booking & Schedule Management

Challenge

In building maintenance inspection work, the operational flow had barely changed for years, and phone calls remained the main way of coordinating schedules with residents — an inefficient status quo.

  • A large amount of time was spent handling phone calls, squeezing out other work
  • Risk of double bookings and missed schedule changes
  • The burden of managing paper-based confirmation sheets

There was also a broader industry-wide challenge in the background: the national average implementation rate for fire equipment inspections stood at only 49% (as of March 2020).

Solution & Team

We newly developed a web app connecting management companies, inspection companies, and residents as three parties. Property and inspection schedules are managed centrally through an admin screen, and residents can easily book or change appointment dates and times from the web using a QR code.

  • A three-screen structure: admin panel, shared panel, and resident screen
  • QR code issuance, reminder email notifications, and electronic signature records
  • Automatic scheduling of regular inspections based on configured inspection intervals

Miichisoft handled everything end-to-end — from requirements definition through consulting, UI/UX design, mockups, development, testing, release, and ongoing maintenance and feature additions afterward. We placed importance on a design philosophy of “narrowing down features and minimizing operations” so that even on-site staff without high IT literacy could use it without confusion.

Team: <p>A PM/BrSE on the Japan side handled requirements alignment with the client, and a lean, highly capable team — UI/UX design, PHP/Laravel development engineers, and QA — (up to 5 members at peak) covered everything end-to-end, from requirements definition through release.</p>
Period: Since 2022 (requirements definition) / Released May 2023 / Ongoing maintenance (spec change in 2026)
Engagement: Project-based
