1. Cloud management of residence card

Before the introduction of VisaMane, labor management work for foreigners was managed using spreadsheet software such as Excel or analog methods. By introducing VisaMane, a business flow with approximately 9 steps, systematizes the business and manages the necessary data in the cloud. Anyone can easily access and check information anytime, anywhere. Compared to Excel and paper management work, the man-hours are less than 1/10 of what they used to be! VisaMane allows paperless management of documents other than residence cards when hiring foreigners.

 

2. Residence card expiry alert notification

 

 

One thing to be aware of when dealing with charges of promoting illegal employment is the expiry date of your residence card. There are cases where continuing to employ an employee without realizing that their period of stay has expired is a crime of promoting illegal employment.

If you use Visamane, alerts will be sent to headquarters, stores, and employees by email based on the expiration date managed by Visamane. Therefore, you can encourage your employees to update their residence cards and re-register with Visa Manager without fail, reducing risks. In addition to the expiration date, you can also receive alerts about whether or not you have permission to engage in activities other than that permitted, work restrictions, etc.

1. Dashboard

You can check warnings (employees who are not allowed to work) and renewal requirements (employees whose residence cards are about to expire) on the dashboard at a glance.

2. OCR reading of residence card information

You can more easily convert photos of residence cards that employees have uploaded to VisaMane into data using the OCR function.

3. Employee registration & renewal

Employees directly upload their residence card photos and employee information from their smartphones or tablets.

4. Image collection upon request

You can request blurred or unuploaded images from your employees and have them upload them for you.

5. Creation of employment status notification form

With one click, you can create an employment status notification form in Excel or CSV using the data on VisaMane.

6. Setting mandatory collection items

In addition to residence cards, employees can freely set the collection of student ID cards, passports, and other information that customers want to collect.

Miichisoft work introduction

Miichisoft was not involved in the development of VisaMane from the beginning, but when the system had been in operation for a long time and the data in the production environment was growing. The development team received the following two missions.

  • Renew the system to improve performance and usability by using new languages and frameworks, to make it easier and more convenient for clients using VisaMane.
  • As VisaMane continues to grow, we need to integrate with other systems and add many new features to meet new requirements and demands from our clients.

Normally, when renewing an existing system, it is important to understand the specifications of the entire system from the beginning so that the new system will function correctly. The architecture must be designed properly in the early stages to improve performance and allow for easier expansion in the future. It is no exaggeration to say that architecture is the soul of a new system.

In this project, Miichisoft was responsible for both the front end and back end. At first, it was difficult to understand the system specifications, but we were very fortunate to be able to work with the customer’s development team, and everything went smoothly. The project was able to achieve the set quality and goals. Significant improvements in performance, system functionality, code quality, and security compared to existing systems.
